These guidelines are designed to ensure a smooth, respectful, and high-quality experience for all of our guests and our team. We encourage you to read through each section before your visit or reservation.
Booking & Deposit Requirements

How to Book 
Ash Style Studio accepts bookings online via SalonBiz, by phone, or in person.​​
​
Deposit Requirements for Specialized Services
For high‑value or multi‑step services (e.g., services combo, complex color, event styling, bridal hair, extensions), a deposit will be required at the time of booking.

First‑Time Color Clients: A color consultation fee of $25–$35, depending on the specialist’s rate, is required at booking. That consultation fee is non‑refundable but applies to the final color service cost. In total, a new color client’s deposit is $50 or more, combining the consultation fee plus a service‑deposit.

High‑Demand Services (Evening or Weekend Events): When reserving the salon space or booking an event date, a $50 or more deposit is required.

Other Complex Services: If a stylist or treatment requires specialized products or extra time, we may request a 25%–50% deposit of the anticipated service cost.​
Deposit Policy for Routine Services
For routine services (haircut, blow‑dry, manicure, pedicure), no deposit is generally required—unless the salon is in a peak‑demand period (e.g., holiday season), in which case Ash Style Studio may require a $25 “holding” deposit to confirm your reservation.
​Application of Deposits
All deposits are credited toward the final service total. At checkout, you will only pay the remaining balance, plus any applicable sales tax (Puerto Rico) and gratuity.
Non-Refundable Deposits
All deposits are non-refundable, regardless of circumstances. To avoid losing your deposit in the case of changes, we encourage clients to review our Cancellation & Rescheduling Policy for details on how to properly reschedule or make adjustments.

Deposit Applicability and Changes
Deposits are tied to the specific service(s) booked and the stylist selected. Your appointment must be honored as originally scheduled. If, on the day of the appointment, you choose not to proceed with the reserved service(s), we are not obligated to apply the deposit as credit toward an alternate service. For example, if you booked a color session and decide to only get a haircut and blow dry instead, the deposit taken for the color service may not be credited—this is at the salon’s sole discretion.
​Limitations on Deposit Usage
Under no circumstances can deposits or credits be used toward product purchases or the purchase of gift cards.

Cancellation & Rescheduling
​
Notice Window
To avoid losing your deposit, please notify us at least 48 hours prior to your scheduled appointment if you need to cancel or reschedule.
​
Late Cancellations (Within 48 Hours) & No Shows

If you cancel within 48 hours, cancel after your stylist has arrived, or fail to show up ("no show"), your deposit will be forfeited and will not be returned or credited.

Late arrivals exceeding 15 minutes may be considered a no show, even if the client is eventually seen, whether by the originally booked stylist or a different one. In such cases, the salon reserves the right to cancel the appointment without notice, and the deposit will be forfeited.

Repeat no shows or same-day cancellations may result in a requirement to pay a higher deposit (e.g., 50% of the service cost) or may lead to restrictions on future bookings.

Rescheduling

If you reschedule more than 48 hours in advance, your deposit will remain on file as a credit and can be applied to a new booking.

Clients may reschedule up to two (2) times, provided each change is made with at least 48 hours’ notice. Any further changes will be treated as a cancellation and result in forfeiture of the deposit.

If you request to reschedule with less than 48 hours’ notice, Ash Style Studio reserves the right to refuse the rebooking, and the deposit will be forfeited.
Exceptions & Salon-Initiated Changes

If your appointment is canceled or interrupted due to circumstances related to the salon, your stylist, or the hotel, we are committed to honoring your deposit in full and rescheduling your appointment at your convenience.

Satisfaction & Correction Policy

Client Satisfaction Window
Ash Style Studio is committed to your satisfaction. If you are dissatisfied with a service, you must notify us within twenty-four (24) business hours after your appointment ends.

Eligibility for a Rework Appointment
We offer a one-time correction (“rework”) at no additional labor cost, provided the following conditions are met:

The same stylist who performed the original service will complete the rework.

The rework must be for the same service type as originally booked. (For example, a guest who books “ombre” cannot use this policy to request a transition to “balayage” or another distinct service.)

The correction must be scheduled within seven (7) calendar days of the original appointment.
Alternative Stylist Requests
If you request a different stylist for the rework, Ash Style Studio reserves the right to charge an additional fee—up to 50% of the original service cost—depending on time, product use, and stylist tier.
Limitations and Salon Discretion

All rework requests are evaluated on a case-by-case basis by salon leadership.

Clients may not request more than two (2) corrections on the same service.

Requests for changes in personal style preference (e.g., “I changed my mind” or “I want something different”) are not covered under this policy.

Ash Style Studio reserves the right to determine whether a result is technically sound and aligned with the consultation agreement. If it is, a rework may be declined.

Rework appointments must be scheduled in advance, subject to stylist availability. Walk-ins will not be accepted.

Client Assurance & Integrity Commitment
Ash Style Studio stands behind the technical quality of our services. If an outcome does not reflect the expectations clearly established during your consultation, we will take every reasonable step to address and correct the issue promptly. Our goal is for you to feel confident, cared for, and respected at every visit.

Health, Allergies & Product Liability Disclaimer

Digital Health & Hair Questionnaire
Prior to any chemical service (color, bleach, smoothing treatments, perms, keratin), you must complete a digital questionnaire in our SalonBiz system. This form includes:

Contact information (name, phone, email, date of birth)

Medical history (allergies, skin sensitivities, medications)

Past hair services (previous color, relaxers, extensions)

Current hair condition (strength, elasticity, texture)

Scalp or skin conditions (eczema, psoriasis, dermatitis)
If you cannot complete the questionnaire (e.g., due to visual or motor limitations), a stylist may transcribe your answers based on your verbal responses. By electronically submitting or signing, you confirm that all information is accurate. Ash Style Studio is not liable for adverse outcomes resulting from incomplete or inaccurate disclosures.
Third‑Party Product Disclaimer
1. Ash Style Studio resells products from Davines and other brands. These products may contain natural ingredients (almond oil, nut proteins, fruit extracts, botanical oils) that could trigger allergic reactions. By purchasing or applying these products, you:

Acknowledge that you have reviewed the ingredient list.

Understand that Ash Style Studio is not the manufacturer and cannot guarantee against all adverse reactions.

Agree to release Ash Style Studio from liability for any allergic or chemical reactions—unless the product was defective or tampered with prior to your purchase.
2. Patch Test Recommendation: For first‑time use of any color, bleach, or new product line, you are encouraged to request a patch test at least 48 hours before your full appointment.

Pricing & Payment Policy
​
Pricing Structure & Service Adjustments
Starting Prices & Estimates
All prices listed—online or in-studio—are starting rates. Final costs may vary based on hair length, density, time, and the stylist’s tier. Prices are based on clients with short to medium-length hair (above or around shoulder level) and standard hair density. Additional fees apply for long, extra-long, or unusually dense hair due to increased product use and stylist time.
Service Add-Ons During Consultations
We believe in personalized service. During each appointment, a stylist will assess your hair and provide recommendations. If you approve any additional services or upgrades during your consultation, those services will be added to your ticket and charged accordingly.
Online Booking Limitations
When booking online, not all services or hair conditions can be assessed in advance. Therefore, stylists may recommend necessary changes or additions once the appointment begins. By proceeding with an online booking, you agree to this professional discretion and to the possibility of pricing adjustments based on in-person consultation.
Payment Methods & Authorization
Accepted Payment Forms
We accept major credit and debit cards (Visa, Mastercard, Amex), Apple Pay, contactless tap, and other mobile wallets. Cash is accepted but not required. A valid card must be on file to secure bookings, deposits, and no-show fees.
Card on File Use & Authorization
By providing a card on file or rebooking in person or by phone, you authorize Ash Style Studio to:

Secure your appointment with a deposit

Process approved service totals at checkout

Collect cancellation fees, no-show fees, or late payment charges
-
Charge subscriptions or standing balances
Verbal approval by phone, SMS, or DM is considered a valid authorization under this policy.

Deposits & Payment Links
When required, clients will receive a secure Stripe payment link via text or email to complete their deposit using the payment method of their choice. These links must be completed to confirm certain services.

Disputes & Chargeback

Direct Communication Requirement Prior to Dispute
Before initiating a chargeback or formal dispute with your credit card issuer or bank, clients are required to contact Ash Style Studio directly to attempt resolution. This is a mandatory condition. Failing to complete this step before filing a dispute will render any request for refund, rework, or further correction null and void.
How to Submit a Dispute or Billing Concern
To report a duplicate charge, incorrect amount, or any dispute, clients must email info@ashstylestudio.com with the following information:

Date and amount of the transaction

Last four (4) digits of the card used

A brief explanation of the concern
Once received, our team will respond within five (5) business days. Any dispute submitted through a card issuer prior to receiving our response will be deemed premature and in violation of our resolution policy.

Evaluation Based on Full Studio Policies
All disputes will be assessed in accordance with the complete terms and conditions set forth in our studio’s published policies, including but not limited to:
Clients must have complied with all related policies for their dispute to be considered valid. Ash Style Studio reserves the right to deny any refund or dispute if a client failed to follow the required processes outlined in these policies.

Contactless Payments & Signature Waiver
Some contactless payment methods (e.g., Apple Pay, tap-to-pay) do not require a customer signature. By using these forms of payment, the client agrees that the transaction is authorized and final. These payments are considered fully approved and binding under this policy.

Additional Consequences for Policy Violations
If a chargeback is filed in violation of this policy, the following actions may be taken:

Immediate loss of eligibility for any refund, rework, or future booking

Suspension or permanent denial of future services at Ash Style Studio

In some cases, referral to a collections agency for outstanding balances
Ash Style Studio reserves the right to submit all necessary documentation—such as service records, appointment notes, payment confirmations, communication logs, and screenshots—to refute any chargeback claim that fails to follow this dispute policy.

Customer Conduct & Safety Policy
​
At Ash Style Studio, we strive to provide a welcoming, respectful, and professional environment for every guest, team member, and visitor. In order to protect the integrity of our space and the well-being of everyone within it, we kindly ask all clients to observe the following guidelines:
Appropriate Behavior & Attire
Clients are expected to arrive in a state suitable for receiving professional salon services. This includes:
• Wearing appropriate attire (covering private areas and appropriate for a public wellness setting).
• Maintaining personal hygiene.
• Being fully conscious and coherent, not under the influence of excessive alcohol or recreational drugs.
If a client arrives in a state that prevents safe and respectful service, we reserve the right to deny or reschedule the appointment.
Respectful Conduct
We do not tolerate:

Harassment, inappropriate comments, or aggressive behavior.

Verbal abuse, yelling, or intimidation directed at our team or other guests.
-
Any form of discrimination based on race, gender identity, orientation, religion, or background.
Clients engaging in this type of conduct may be asked to leave immediately and may be restricted from booking future services.
Health Conditions & Honest Disclosure
For your safety and the integrity of our services, it is essential that clients disclose any recent:

Skin sensitivities, sunburns, chemical peels, or laser treatments.

Scalp conditions, infections, or irritations.
-
Nail or skin conditions that could be contagious or contraindicated for service.
Failure to disclose such information may result in adverse reactions. Ash Style Studio and its team members are not responsible for issues arising from withheld or inaccurate information.
We reserve the right to refuse, reschedule, or adjust services if the client’s skin, hair, or nails appear to be in a condition that could compromise safety or results.
Children & Companions
To maintain a focused and safe environment:

Children under 12 must be supervised by an adult at all times.

Only clients receiving a service may remain in the styling area, unless prior arrangements have been made.

We kindly ask that companions respect the peaceful atmosphere of the studio and hotel surroundings.
Safety & Hotel Compliance
As part of the Hotel Aïre de O:live, Ash Style Studio adheres to hotel-wide safety and emergency protocols.

In case of emergency, please follow staff instructions.

Guests must respect hotel policies regarding noise, conduct, and shared spaces.
Right to Refuse Service
We reserve the right to refuse or discontinue service to any individual whose behavior or physical condition compromises the safety, comfort, or dignity of others—or puts the outcome of the service at risk.​​

Liability & General Disclaimer

Premises & Shared Spaces
Ash Style Studio operates within Hotel Aire de O:live and maintains a clean, professional, and safe salon environment. However, any incidents occurring outside of our studio premises—including but not limited to hotel lobbies, hallways, restrooms, pool areas, parking facilities, and beach access zones—are the sole responsibility of Hotel Aire de O:live.
Clients enter shared spaces at their own risk and are subject to the hotel’s rules and liability policies.

Photography & Hotel Grounds Use
Ash Style Studio may occasionally conduct or assist with photo or video content in designated outdoor or hotel spaces (e.g., beach club, terrace, poolside). Clients participating in these activities understand that such areas fall under the hotel’s policies, and by doing so, agree to comply with any media and privacy regulations applicable in those spaces.

Food, Beverage & Alcohol Policy
Ash Style Studio may, on occasion, offer clients the option to order or enjoy refreshments—such as coffee, non-alcoholic drinks, or, for adult clients, alcoholic beverages—as part of a curated guest experience. These items are exclusively provided, prepared, and served by Hotel Aire de O:live and/or its restaurants and bars, and are subject to the hotel’s own health, service, and liability standards.
Ash Style Studio does not produce or serve food or beverages directly. Therefore, we are not liable for any outcomes related to the consumption of food or beverages—including but not limited to allergies, illness, or intoxication—regardless of whether they are consumed inside or outside the salon.
Beauty Services & Client Responsibility
By scheduling and receiving services at Ash Style Studio, clients acknowledge the inherent risks associated with personal care services (such as hair coloring, chemical processes, nail treatments, or skin services). Clients agree to release Ash Style Studio, its team, and independent service providers from any liability or damages except in cases of gross negligence or intentional harm.
To ensure service results and eligibility for any follow-up support, clients must adhere to aftercare instructions provided by their stylist or technician. Failure to do so may void eligibility for adjustments, corrections, or refunds.
Hotel Services & Amenities
Ash Style Studio operates independently from Hotel Aire de O:live. Any experiences, accidents, or disputes related to the hotel’s amenities—including but not limited to its restaurants, valet, elevators, pools, and restrooms—must be addressed directly with the hotel. Ash Style Studio does not accept responsibility for hotel-managed areas or services.

Intellectual Property Policy (Photos & Videos)

Salon‑Captured Media
Ash Style Studio may take photographs or videos during or after your service, documenting hair, nails, makeup, or the overall client experience. These media may be used for promotional or editorial purposes, including but not limited to our website, social media platforms, and printed materials.
Some content may be captured outside the salon suite—in areas within Hotel Aire de O:live (such as designated photo spots, hallways, or outdoor spaces)—as part of a curated and immersive experience aligned with our brand’s aesthetic.
By receiving a service at Ash Style Studio, you grant us a non-exclusive, royalty-free, worldwide license to use these images or videos for marketing purposes, unless you explicitly opt out by notifying us in person at check-in or via email at info@ashstylestudio.com.
We respect your privacy. If at any time you change your mind or feel uncomfortable, please let us know and we will refrain from capturing or publishing your image.
Client‑Generated Content
If you share content on public social platforms (such as Instagram or TikTok) and tag or mention @ashstylestudio, you grant us permission to repost or share that content (User‑Generated Content or UGC) across our marketing channels.
We will always credit your social media handle when reposting your content unless you request otherwise. You may also request removal at any time by contacting us.
Copyright & Trademarks
All content on our website—including text, images, videos, graphics, and logos—is the intellectual property of Ash Style Studio and is protected by copyright law © 2024. Unauthorized use, reproduction, or distribution is strictly prohibited.
